User Data Deletion Instructions

This page explains how data is deleted that Neurobots receives through the Meta app “Neurobots Tech” from connected Facebook Pages and Instagram professional accounts.

1. Who is responsible?

Businesses that connect their Facebook Page or Instagram account to the Neurobots platform are the controllers under the GDPR for the conversations with their customers. Neurobots processes this data as a processor (Art. 28 GDPR) on behalf of the respective business.

2. Which data is processed

Messenger and Instagram Direct messages as well as comments addressed to the connected Page or account, including attached files (for example images);
the sender’s name and profile picture, where Meta provides them, and the user ID assigned by Meta;
the IDs of the connected Facebook Page and Instagram account, and the Page access token, which is stored encrypted.

3. Removing the connection as a business

In Neurobots: open Settings → Integrations and delete the Facebook or Instagram integration. This deletes the integration itself, the stored credentials, including the Page access token, and the conversations, messages and attachments stored for this channel. Contacts you have taken over from these conversations into the CRM remain until you delete them.

At Meta: also remove the app’s access so that Meta no longer sends data to Neurobots:

Facebook: Settings & privacy → Settings → Business integrations, select “Neurobots Tech” and remove it.
Instagram: Settings → Apps and websites, select “Neurobots Tech” and remove it.

If all other data of your business should be deleted as well, write to us at info@neurobots.tech.

4. Requesting deletion as an individual

If you have written via Facebook or Instagram to a business that uses Neurobots, you can ask that business directly to delete your data. The business records and processes your request in its DSGVO (GDPR) request register in Neurobots. You can also email us at info@neurobots.tech. Please include:

the Facebook Page or Instagram account you wrote to;
your name on Facebook or Instagram;
roughly when you wrote.

As Neurobots acts as a processor, we forward your request to the business that owns the conversation and support it in carrying out the deletion. Before any data is deleted, your identity is verified, so that nobody can have someone else’s data deleted.

5. What is deleted and when

The content of your messages and comments and the notes and activities about your contact are deleted. Your contact record and the conversations are anonymised: your name, email address, phone number, profile picture and other details about you are removed. Data that must be kept under statutory retention obligations is deleted once those periods have expired.

Deletion takes place without undue delay, at the latest within 30 days of receiving the request (Art. 12(3) GDPR). In complex cases this period may be extended by a further two months; if so, we will inform you within the first 30 days.
