How we calculate it

  1. Missed customers per month = inquiries per day × share not answered × share that would have become customers × working days per month

    20 × 20% × 25% × 21 ≈ 21

  2. Revenue per month = missed customers per month × average revenue per customer

    21 × €80 ≈ €1,680

  3. Revenue per year = revenue per month × 12

    €1,680 × 12 ≈ €20,160

How many calls are you really missing? Here’s how to measure it

The calculator is only as good as the numbers you put in. These five steps get you reliable figures within one or two weeks.

  1. Check your phone system’s call log

    Most phone systems and providers keep a call log that includes missed calls. Export the last two to four weeks and count incoming and unanswered calls, including those outside opening hours.

  2. Leave out repeat calls and callbacks

    Someone who calls three times is one prospect, not three. Count each number once per day. If you reached a caller on callback and they booked, that call wasn’t lost.

  3. Count messages too

    Add inquiries from WhatsApp, email, contact forms and social media. Anything nobody replied to, or replied to after the customer had already booked elsewhere, counts as unanswered.

  4. Work out your conversion rate

    Look at the inquiries you did answer: how many ended in a booking or an order? That share is a good starting point for the ones you missed.

  5. Take revenue per customer from your own data

    Your POS system, booking software or accounting records will give you the average revenue per customer or appointment: one month’s revenue divided by the number of customers or appointments that month.

If in doubt, stay conservative: use a low conversion rate and the value of a first appointment rather than the value of the whole customer relationship.

How accurate is the result?

The result is an example calculation based on your inputs. It is not a guarantee or a forecast. The calculator simply multiplies the values you enter, so the more accurately your figures come from your call log, POS system or booking software, the more meaningful the estimate.

What should I enter if I don’t know my numbers?

The preset values are examples only. Measure for one or two weeks as described in the guide above: your phone system’s call log, a simple tally of messages and the average revenue from your POS system or accounting records. Until then, it’s safer to use conservative values.

Do WhatsApp, email and contact form messages count?

Yes. Under “Calls and messages per day”, enter every incoming inquiry, whatever the channel. An inquiry counts as not answered if nobody replied, or if the reply came after the customer had already booked elsewhere.
