Integrations: connecting AI employees to your CRM and calendar

Neurobots AI employees answer phone calls, WhatsApp messages, emails and chats. So that the results don't pile up in yet another inbox, they are connected to the systems you already use: your CRM (HubSpot, Pipedrive, Salesforce, SAP or Microsoft Dynamics) and your calendar. After each conversation, the contact details, the request, any booked appointment and a summary are where your team already works.

  • HubSpot

    For teams that win customers through their website and content: calls and chats as contacts or leads in HubSpot.

  • Pipedrive

    For small sales teams with a pipeline: requests reach Pipedrive even when everyone is out with customers.

  • Salesforce

    For larger sales teams: first qualification by phone, handed over as a contact or lead in Salesforce.

How the handover to your CRM works

The process is the same for every system, whether the request comes in by phone, WhatsApp, SMS, messenger, email or the chat on your website.

  1. Handle the conversation

    The assistant takes the request, answers questions using the knowledge you have provided and asks the qualifying questions you specify.

  2. Book or hand over

    If an appointment fits, it books it in the connected calendar. Urgent or sensitive matters are passed to a person according to your rules, either as a forwarded call or as a callback request.

  3. Write the result to the CRM

    Contact details, request, appointment and a conversation summary go to your CRM. Depending on setup, the assistant creates a contact or lead or updates an existing record.

  4. Your team takes over

    Your team finds the request in the CRM and continues with its usual workflow. Nobody has to type up notes.

Calendars for appointment booking

To book appointments, the assistant needs access to your calendar. It checks free slots, suggests suitable times and enters the chosen appointment. It also takes requests to reschedule or cancel. Which calendar you connect is decided with the partner during setup.

Setup and requirements

The connection is part of the implementation a certified partner carries out in about 14 days. You provide access to your CRM, for example an API key, and decide which requests the assistant handles and when a person takes over. Before launch, you check with test calls and test messages what the CRM entries look like.

Data protection

Neurobots processes conversation data under the GDPR on servers in Nuremberg, Germany, and a data processing agreement (DPA) is available. Established language models act as data processors, and conversation threads are not stored by the model providers. Data that has been passed to your CRM is governed by your contract with the CRM vendor.
