Cost guide
How much does an AI phone assistant cost?
At Neurobots, an AI phone assistant costs a one-time €1,299 for setup and then €399 or €599 per month, depending on whether you need 500 or 1,000 sessions a month. All prices are net. On top of that come the phone number and call minutes from your telephony provider and some of your team's time for preparation. In the first year, the Basic plan adds up to €6,087 excluding telephony.

What the cost is made up of
Setup
€1,299 one-time
A certified partner sets up the assistant in about 14 days: analysing your calls, adding knowledge and rules, connecting phone, calendar and CRM, testing and briefing your team. The price is fixed, whichever partner does the setup.
Monthly subscription
€399 or €599 per month
The monthly price covers operation with a fixed session allowance: 500 sessions on the Basic plan, 1,000 on the Pro plan. A session is a call of up to 5 minutes or a chat of up to 20 messages, on any channel.
Telephony
billed separately
Phone numbers and call minutes are not included in the subscription and are billed at the telephony provider's rates. The amount depends on how many calls the assistant answers and how long they last.
Internal effort
your team's time
The partner needs your information: frequent questions, prices, appointment rules and the cases in which a person should take over. Add testing before launch and updates when your services or prices change.
Fixed subscription or per-minute billing?
There are two basic models on the market. With usage-based billing you pay per call minute or per call, often on top of a base fee. That is cheap as long as few people call. Costs are harder to plan, though, because a busy month or many long calls go straight onto the bill.
Neurobots uses a fixed monthly price with a session allowance. As long as your volume fits the allowance, you know in advance what the month will cost. If it is permanently higher, the larger plan is the right choice. We work this out with your call numbers before launch.
When comparing offers, one simple question helps: what does a typical month cost with your actual call volume, including telephony and all extra fees?
How to estimate your volume
Which plan fits depends on the number of sessions. These are the figures you need:
- Calls per month: the call log of your phone system or the overview from your telephony provider shows incoming and missed calls.
- Call length: for one week, note how long typical calls last. Calls of up to 5 minutes count as one session.
- Messages: also count enquiries via WhatsApp, email and website chat if the assistant is to handle those channels.
- Share for the assistant: decide whether it answers every call or only the ones your team cannot take, for example outside opening hours or when all lines are busy.
Worked example
These assumptions are an example, not market averages. Replace them with your own numbers.
Assumptions
- 300 calls a month answered by the assistant, each shorter than 5 minutes
- 100 chats a month via WhatsApp and the website, each under 20 messages
- 400 sessions a month in total, which fits the Basic plan with 500 sessions
Result (net)
- Setup (one-time)
- €1,299
- Basic plan, 12 months
- 12 × €399 = €4,788
- First year excluding telephony
- €6,087
- Average per month in the first year
- about €507
- From the second year
- €4,788 per year
- Subscription per session (€399 / 400 sessions)
- about €1.00
- Telephony
- call minutes × your telephony provider's rate per minute, plus the phone number
On the Pro plan, the first year comes to €1,299 + 12 × €599 = €8,487. Compare the cost with the revenue you currently lose through unanswered calls. You can estimate that with the missed calls calculator.
What the price does not include
- Phone numbers and call minutes (telephony provider)
- Fees that Meta charges for certain WhatsApp messages, if you use WhatsApp
- Licences for your CRM or calendar
- Your team's time for preparation, testing and keeping content up to date
- VAT: all prices quoted are net
