  • Integration: is the connection to your CRM, practice software or workshop software included in the setup price, or charged separately?
  • Data cleansing: duplicate contacts and outdated phone numbers have to be cleaned up before the start. Usually nobody does this except you.
  • Changes after go-live: new services, changed opening hours, new prices. Can you maintain these yourself, or does every change cost an hour of support?
  • Data protection: data processing agreement, an entry in your record of processing activities, possibly a data protection impact assessment. Plan time for your data protection officer.
  • Term and exit: how long are you tied in, and will you get your data back in a usable format if you switch?

Now the other side of the calculation. Suppose an average workshop job brings a contribution margin of €150 after materials. Then the workshop would need to win around 54 additional jobs in the first year, or save the equivalent in working time on the phone, for the expense to pay for itself. That is about four to five jobs a month. Whether that is realistic can be answered with a simple test: for two weeks, count how many calls go unanswered and how many of them were new customers. Planning your budget in five steps

  1. Measure the starting point. How many enquiries come in today, how many are lost, how much time goes on routine information?
  2. Choose one use case. Start with a clearly defined process, such as appointment booking or enquiry qualification, not everything at once.
