AI assistant for tax advisers:
client calls even before deadlines
Before filing deadlines the phone never stops while your team finishes returns. The AI assistant answers calls and messages, books appointments, sends document checklists and passes technical questions to the right person.
Deadline season: lots of calls, little time
In the weeks before a filing deadline many clients call at once: which receipts are still missing? Has my return gone out yet? Can we have a quick call? Every call interrupts someone who is working on a return or a payroll run.
At the same time, prospective clients asking about a new engagement end up on voicemail. Many of these calls are organisational and could be handled without tax expertise.
What the AI assistant handles in a tax firm
The assistant takes care of the organisational side; the advice stays with you.
Fewer interruptions before deadlines
The assistant answers calls, WhatsApp messages and emails, several at once. Your team keeps working on the returns and calls back in a planned way.
Request complete documents
Depending on the request, the assistant sends the matching checklist from your firm, for example for an income tax return or a new business, and answers follow-up questions about it.
Technical questions to the right person
The assistant doesn't answer tax questions. It records them with the client's name and callback number and passes them to the responsible adviser or clerk.
How the AI assistant gets started in your firm
A certified partner sets it up in about 14 days.
Define requests and rules
You decide which questions the assistant answers, which requests it passes to whom, and what details it records for new client enquiries.
Add knowledge, checklists and calendar
The partner adds office hours, services, your document checklists and answers to common questions, and connects telephony, email and the firm's calendar.
Test and go live
Your team runs test conversations, then the assistant goes live. Conversations and handovers stay traceable, and the partner adjusts answers where needed.
Features at a glance
The AI assistant gives no tax advice. It answers organisational questions, records requests and sends information your firm has approved. There is no integration with DATEV or other practice software for tax firms, so the assistant doesn't know where a case stands: if a client asks whether their return has been filed, it records this as a callback request. It puts appointments into your connected calendar and hands over contacts and requests by email or to your CRM.
Confidentiality and data protection in a tax firm
Tax advisers in Germany are bound by confidentiality, and a breach can be a criminal offence under § 203 of the German Criminal Code (StGB). Firms that involve service providers must also observe § 62a of the Tax Advisers Act (StBerG). Under it, protected information may only be made accessible to service providers as far as their service requires. The firm has to choose the provider carefully and, among other things, oblige it to confidentiality.
Neurobots processes call data solely on behalf of your firm, under a data processing agreement (DPA). Whether your agreements meet all professional requirements is best checked with your chamber of tax advisers or your data protection adviser. Let us know if you need a confidentiality agreement in addition to the DPA.
