For insurance brokers

AI assistant for insurance brokers:
enquiries, appointments and claim reports

The assistant answers calls, WhatsApp messages and emails while you are with a client. It asks prospects for the key details, books advice appointments, sends document checklists and takes claim reports. The advice stays with you.

Of course, our team will advise you personally. May I ask which industry you work in? Then I'll suggest an appointment.

Advice takes time, and the phone takes it away

As a broker you are often with clients, in advice meetings or on the road. That is exactly when prospects call to have their insurance reviewed, existing clients ring with a question about their policy and others want to report a claim.

Callers who only reach voicemail ask the next broker or a comparison site. And when an advice appointment does happen, documents such as the current policy or vehicle details are often missing. That means follow-up questions or a second appointment.

What the AI assistant handles in a brokerage

The assistant handles organisation and pre-qualification; advice and brokering stay with you.

Pre-qualify enquiries and book appointments

The assistant asks about the request, line of insurance and contact details and books an advice appointment in your calendar. Contact and call summary go to your CRM.

Send document checklists

Depending on the request, the assistant sends your office's checklist by email or WhatsApp, for example for switching car insurance or for business cover. Clients can then gather their documents before the appointment.

Take and hand over claim reports

For a claim, the assistant asks for the policy or registration number, date and course of events and contact details, and passes everything to your team in a structured form. It does not judge whether or how much the insurer will pay.

How the AI assistant starts in your brokerage

A certified partner sets it up in about 14 days.

1

Define requests and limits

You decide which questions the assistant answers, which key details it asks for per line of insurance and what it explicitly does not do, such as recommend policies or answer coverage questions.

2

Add knowledge, checklists and calendar

The partner adds office hours, lines of insurance, your document checklists and answers to common questions, and connects telephony, email, WhatsApp, calendar and CRM.

3

Test and go live

Before the start, your team makes test calls. After that, conversations and handovers stay traceable, and the partner adjusts answers when needed.

The AI assistant gives no advice and arranges no contracts. Advice and its documentation stay with you, as the Insurance Distribution Directive (IDD) and your licence under § 34d of the German Trade Regulation Act (GewO) require. The assistant recommends no policies, compares no offers, accepts no applications and confirms no cover. Questions about the scope of a policy or whether a claim is covered are recorded as callback requests. There is no integration with broker management systems or comparison calculators. Contacts and requests are handed over by email or to your CRM.

Data protection in a brokerage

On the phone, clients give policy details, registration numbers or details of a claim. With health, disability or life insurance, health information quickly comes up too, which Art. 9 GDPR protects as a special category. The AI assistant processes all data solely on behalf of your office, under a data processing agreement (DPA).

We recommend that the assistant does not ask health questions. Health details for an application belong in your advice meeting. Which consents and information you need towards your clients is best clarified with your data protection adviser.

Questions insurance brokers ask

Does the AI assistant give insurance advice?

No. It recommends no policies, compares no offers and confirms no cover. Advice and documentation stay with you as a broker licensed under § 34d GewO. The assistant records requests, asks for key details and books an appointment with you.

How does a claim report via the assistant work?

The client reports the claim by phone, WhatsApp or email. The assistant asks for the policy or registration number, date and course of events and contact details, and passes the report to your team at once. Notifying the insurer and the question of whether the claim is covered stay with you.

What happens to clients' health data?

We recommend that the assistant does not ask health questions. If a client mentions health details anyway, Neurobots processes them only on your behalf under a DPA, on servers in Nuremberg. The language models act as processors and do not store conversation threads.

Is the assistant connected to our broker management system?

No. There is no integration with broker management systems or comparison calculators. The assistant hands over contact details, the request, the appointment and a call summary by email or to a CRM such as HubSpot, Pipedrive, Salesforce, SAP or Microsoft Dynamics.

What does the AI assistant cost for a brokerage?

Setup costs €1,299 once, then €399 per month on the Basic plan (500 sessions) or €599 on the Pro plan (1,000 sessions), net. A session is a call of up to 5 minutes or a chat of up to 20 messages. Phone numbers and call minutes are billed separately.

How long does setup take?

About 14 days. A certified partner adds your lines of insurance, checklists and rules, connects telephony, email, WhatsApp, calendar and CRM, and tests the workflows with your team.
