If you compare chatbot providers for the German Mittelstand, you quickly find yourself facing dozens of websites that all promise the same thing. Instead of a ranking that will be out of date in six months, this article gives you a classification of provider types, a list of selection criteria and a simple test procedure that will tell you within two weeks which chatbot suits your business.

What kinds of chatbot providers there are for SMEs

The market can be roughly divided into five groups. The boundaries blur, but the classification helps you place offers and avoid comparing apples with oranges.

Provider typeTypical useStrengthsLimits
No-code builderWebsite chat with frequently asked questionsQuick start, low entry costsSetup and maintenance are up to you
Chat feature of a CRM or helpdeskCompanies that use the system anywayData stays in one systemFeatures tied to the main product
Industry solutionPractices, hotels, car dealerships, brokersKnows typical workflows and specialist systemsNot very flexible outside the industry
AI agents set up by a partnerBusinesses without their own IT, several channelsPhone, chat and messenger from one source, setup includedOngoing costs, tied to one provider
In-house development based on a language modelCompanies with their own developersFull controlHigh effort for operation, security and maintenance

For a tax adviser with three employees, in-house development hardly makes sense. For a car dealership that wants to bundle enquiries from the phone, WhatsApp and the website, a pure website builder is often not enough. So the question is less which provider is best and more which type fits your problem. Our article Rule-based chatbots vs. AI agents explains how rule-based bots differ from AI agents.

Criteria for comparing chatbot providers

Language understanding in everyday use

Almost every provider advertises good German. Whether that holds true only shows with real customer messages: typos, colloquial language, half sentences, dialect on the phone, questions about two topics in one message. Pay attention to tone as well. A bot for a law firm should sound different from one for a gym, and it should consistently use the formal or informal form of address, depending on how your business communicates.

Handover to people

No bot answers everything. What matters is what happens when it does not know what to do. Does the enquiry land with the right person along with the full conversation history, or does the customer have to explain everything again? Can the bot arrange a call-back if nobody is available right now?

The channels your customers actually use

Many chatbots are built for the window in the bottom-right corner of the website. But clients of a beauty salon are more likely to write via WhatsApp, customers of a garage call, and business customers send emails. Check which channels your enquiries come in through today, and ask whether the provider serves these channels from a shared knowledge base. Otherwise you will end up maintaining three systems with three different answers to the same question.

Connection to your systems

A chatbot with no access to the calendar, CRM or order status can only answer general questions. Ask specifically about your systems and have the connection demonstrated. A general statement such as “open interfaces” does not help you if your practice software or ERP system is not among them.

Data protection and confidentiality

Clarify where conversation data is stored, which subcontractors are involved, whether your data is used to train models and how long conversation logs are kept. A data processing agreement is mandatory. Professionals bound by confidentiality, such as tax advisers, doctors or lawyers, must also ensure that the service provider is bound to secrecy. If you value access management, also ask which employees may read which conversations.

Pricing model and contract terms

Some providers charge per user, others per conversation or per month with a quota. Do the maths with your own enquiry volume and ask what happens if the quota is exceeded. Look out for minimum terms and check whether you can export your data if you cancel. For comparison: at Neurobots, the Basic plan costs 399 euros a month for one AI employee and 500 conversations, the Pro plan 599 euros for all four AI employees and 1,000 conversations, plus a one-off 1,299 euros for setup by a certified partner. It is best to ask other providers for their prices directly, as they change frequently.

You will find a more detailed list of questions to ask providers in our checklist for evaluating AI providers.

How to test chatbot providers in two weeks

  1. Collect real questions. From your inbox, your WhatsApp histories and your phone notes, pull out about 30 typical enquiries, including messily worded ones. Remove personal data beforehand.
  2. Select two or three providers. Alongside daily business, you can hardly compare more than that properly. Choose providers from different groups in the table above.
  3. Ask for a test environment with your content. A demo with the provider's sample data tells you little. Ask for your opening hours, services and prices to be stored.
  4. Run through all the questions and rate them. For each answer: correct, partly correct, wrong, or properly handed over to a person. A wrong answer weighs more heavily than an honest handover.
  5. Check edge cases. What does the bot do with a complaint, a detailed medical or legal question, or a message in English?
  6. Evaluate with the team. The employees who answer enquiries today will quickly recognise which answers would cause trouble in daily work.

When a chatbot is not the right solution

If your customers almost always call, a website chat will not help much. A phone assistant is more what you need. If only a few enquiries come in each week and they need individual advice anyway, the effort for setup and maintenance is out of proportion to the benefit. And if nobody in the business has time to keep the bot's answers up to date, opening hours and prices go stale and the bot does more harm than good.

Frequently asked questions

Do I need a German provider?

Not necessarily. Storage location, subcontractors and a proper data processing agreement matter more than where the company is based. That said, a German-speaking support contact is a real advantage in daily use.

How long does setup take?

A simple website chat with frequently asked questions can be set up in a few days. With calendar and CRM connections and several channels, expect more like one to two weeks, plus a few weeks of fine-tuning during live operation.

Does the bot have to say that it is an AI?

We strongly recommend it. The EU AI Act requires transparency when people communicate with an AI system. A short note at the start is enough and builds trust.

Where can I find a comparison of specific platforms?

The article Top AI chatbot platforms compared gives an overview of well-known platforms and their features. For the basic purchasing decision, the buyer's guide to AI chatbots helps.

Conclusion

When comparing chatbot providers, the feature list matters less than whether the bot answers your real enquiries correctly, hands over to people cleanly and fits your business in terms of data protection. With 30 real questions and two weeks of testing, you will learn more than from any brochure. The article GDPR and AI chatbots describes how to stay compliant along the way.

If many enquiries from several channels converge at your business, the page Digital assistant for service centres shows how an AI employee takes enquiries and hands them over to your team.
